  • Overview

    Purpose and Scope:

    The purpose of this position is to provide operational management support for the development of rental within the Patten Tractor Rental Hammond branch. As Patten Rental grows their rental business, they will face different sets of challenges, which will require different types of support. This position acts as both a team member and a resource/information provider.  To be effective, the Rental Operations Lead must establish an understanding of the objectives and accountabilities below.

    Responsibilities

    Objectives & Accountabilities (including, but not limited to):

    1. Actively involved in rental department process and procedure development and implementation.
    2. Supervises all operations personnel at branch including rental coordinators, union technicians, union yard personnel, union apprentices, etc.
    3. Be actively involved in rental department process implementation with eye toward continuous improvement.  Monitor existing processes to ensure compliance.
    4. Assist outside Sales Reps by coordinating support responsibilities including freight coordination, technician assistance, fuel deliveries, and field deployment.
    5. Work closely with Rental Coordinator and Invoicing Specialist to ensure invoice accuracy & monitor profitability on a per-job basis.  Emphasis on process improvement through improved knowledge of iRental.
    6. Coordinate with other dealers & specialty vendors on rerental products ensuring on rent/ off rent dates, and managing “back to back” contracts.
    7. Ensure timely processing of contract documents including check in/ check out paperwork for timely billing.
    8. Ensure that 100% of incoming calls are answered within 3 rings and all phone logs filled out completely and consistently on ongoing basis.
    9. Monitor existing processes to ensure compliance.
    10. Spot check yard and rental up line on a daily basis and work with service department to ensure quality control and fleet mix is appropriate.
    11. Work with service department to ensure that quality control service tags are being used correctly.
    12. Obtain 100% of business plan net revenue goal.
    13. Obtain overall financial utilization per year as outlined.
    14. Maintain daily involvement with inside sales staff to include training on any operational issues.
    15. Slow rent to be maintained at zero units at over 90 days without renting and review with branch on monthly basis.
    16. Enforce company safety program.  Program to include monthly safety meetings.
    17. Support “field management” strategy by providing Rental Manager with information regarding lost rents and the competition. Lost Rent Report to be submitted a minimum of once a month.
    18. 100% of management requests, special assignment or projects to be completed with in the specified time.
    19. Operating statements and other financial reports to be reviewed weekly for understanding. Provide accurate current estimates on monthly basis.
    20. Twice per year, review each employee’s job performance against objectives and standards.
    21. Reconcile inventory each week.
    22. Reconcile P-damage account each week and ensure six sigma process is followed on all customer damage.
    23. 100% of suspected customer damage to be documented and communicated to customer within 24 hours of discovery.
    24. Train branch personnel on iRental and all rental processes and develop training schedule for each position.
    25. Complete all training as assigned

     

     

    Administrative:

    • Analyzes needs and establishes development and training programs for team members.
    • Possesses excellent people skills and is able to delegate effectively, keeping the branch on track.
    • Understands basic financial reporting (P/L statements and Balance sheets) and along with controlling expenses within the branch, monitors the G/L distribution of income and expenses to assure accurate reporting each month.

     

    Customer Relations:

    • Acts as a mediator with employee and/or customer disputes.
    • Works with sales/marketing team members to stay informed of market conditions (competitors and utilization trends) and customer needs.
    • Makes direct customer contact routinely to ensure customer satisfaction levels.

     

     

    Qualifications

    Experience & Qualifications:

    Dominate Skills Required

    Candidate must have great people skills, enthusiastic personality, a proven communicator, and ability to multitask.  Mechanical aptitude would be very beneficial. Sales experience and customer relations would be beneficial.

    Education and Training

    • Preferably, a college degree, formal college training, and/or additional training in the following areas advantage.
    • Knowledge and understanding of the start up procedures necessary for a rental, as well as, a working knowledge of the operations, sales, service and systems.
    • Ability to perform and explain every job in tractor rental.
    • Ability to organize and deliver basic rental training on products, operations, sales, service and systems.
    • Assessment techniques of examining, questioning, evaluating and reporting on the performance of the tractor rental department.

    Technical Requirements

    Tractor Rental Operations Lead should have:

    • A working knowledge of Microsoft Word, Excel, PowerPoint, and DBS.

     

    Career Experience

    Tractor Rental Operations Lead should have experience in the rental industry or equivalent experience in a closely related industry. Some closely related industries would include construction, engineering, and equipment distribution.

     

    Summary:

    The Tractor Rental Operations Lead is responsible for all operational aspects of the business as it pertains to rental. Therefore, it is critical for someone in this position to possess or be trained in the necessary interpersonal and administrative skills necessary to perform and carry out all duties stated above.
