  • Overview


    The purpose of this position is to support sales management, salesmen and, to a lesser extent customers, with daily requests and to be a resource for their specific equipment requirements.  It is essential to become an expert on the product so you are capable of providing the expertise needed to assist our salesmen and their needs.  A full working knowledge of the DBSi system is needed to perform this job effectively.


    PRINCIPAL FUNCTIONS & RESPONSIBILITIES (including, but not limited to):

    • Responsible for coordinating all aspects of a machine sale, from machine and attachment/work tool ordering to shipment and invoicing the customer.
    • Responsible for placing all orders whether stock inventory, work tools or newly acquired business. These orders will fall in line within the heavy or compact product group and may also include ancillary (non-Cat) product lines.
    • Reports all sales activity to Caterpillar through DBSi for their specific product grouping.
    • Responsible for locating and/or transferring machinery to and from other Cat dealers to fulfill a sale.
    • Develop good working relationships with Caterpillar dealers, Caterpillar personnel, and outside suppliers
    • Effectively communicate shipping instructions/information to the Central Transportation Manager (or designated freight hauler) to ensure that the Customer specific instructions are achieved.
    • Set up demonstrations and equipment loaners for salesmen, as well as follow up with salesmen to ensure adherence to policy.
    • Initiate requests to the Service Department for PDI’s, along with additional work needed per customer specifications.
    • Keep salesmen and sales management team aware of product problems, delivery issues, etc.
    • Responsible for entering received equipment, relieving sold, rented, and demo/loaned machines out of the system within 24 hours of receiving appropriate paperwork.
    • Inventory and DBSi system reconciliation
    • Processes all new, used and rental sales invoices to customers.
    • Provide backup support for all coordinators to ensure successful execution of job functions during absence of coordinator.
    • Keep salesmen informed as to status of sold machines.
    • Provide all necessary reporting on a timely basis. This will include initial review so that any noncompliance or issues are effectively communicated to the Sales and Operations Manager




    This individual must have the ability to work in a team setting, and to perform multiple tasks.  This individual must have ability to process orders, equipment movement and associated tasks within an established calendar.  This requires excellent computer skills, attention to detail and an ability to communicate effectively with all members of the Patten Team.


    Bachelor’s degree preferred




    • Must have good organizational skills and ability to work in high pressure environment.
    • Has good decision making practices and ability to follow directions.
    • Must be able to work independently and meet deadlines.
    • Demonstrates effective communication ability, representing Patten’s professional image to customers and office personnel.
    • General Knowledge of Excel, Word, and PowerPoint.
